Refund & Cancellation Policy

At Science Made Clear, we aim to provide high-quality online tutoring and educational resources while maintaining a fair and transparent booking and purchasing experience.

This policy explains our arrangements for cancellations, rescheduling and refunds relating to online tutoring sessions, tutoring packages and downloadable digital resources.

Nothing in this policy affects your statutory rights under applicable UK consumer law.

1. Tutoring session cancellations

If you need to cancel or reschedule a tutoring session, please contact Science Made Clear as soon as possible.

Subject to any statutory cancellation rights that apply:

• Cancellations made at least 24 hours before the scheduled start time may be rescheduled to another available time or refunded.

• Cancellations made less than 24 hours before the scheduled start time are normally non-refundable.

• Genuine emergencies or exceptional circumstances may be considered on a case-by-case basis.

Where a session is rescheduled, the replacement session will be subject to tutor availability.

2. Statutory cancellation rights for online tutoring

Where you are purchasing tutoring as a consumer through our website or another distance-booking method, you may have a statutory right to cancel the service contract within 14 days after the day on which the contract is entered into.

This statutory right is separate from our normal 24-hour cancellation policy.

If you ask us to provide a tutoring session during the statutory 14-day cancellation period, we may ask you to expressly request that the service begins before the cancellation period has expired.

If you subsequently exercise a statutory right to cancel after tutoring services have already begun at your express request, you may be required to pay an amount proportionate to the services already provided, where permitted by law.

Where a service has been fully performed during the cancellation period following the required request and acknowledgement from you, your statutory cancellation right may come to an end in accordance with applicable law.

Nothing in our 24-hour cancellation policy removes any statutory cancellation right that you are legally entitled to exercise.

3. Missed tutoring sessions

If a student does not attend a scheduled tutoring session and no prior notice of cancellation has been provided, the session will normally be treated as completed and the fee will not be refunded.

This does not affect any statutory rights that may apply.

4. Late arrival

Students should join their online tutoring session at the agreed start time.

If a student arrives late, the session will normally still finish at the originally scheduled finishing time.

No partial refund will normally be provided for teaching time lost because of a student's late arrival.

Where possible, we will make reasonable efforts to ensure that the remaining session time is used effectively.

5. Cancellations by Science Made Clear

If Science Made Clear needs to cancel a tutoring session, you will be offered either:

• a replacement session at a mutually convenient available time; or

• a full refund of the amount paid for the affected session.

You will not be charged for a session that Science Made Clear is unable to provide.

6. Technical difficulties

Online tutoring depends on functioning internet connections, devices and relevant software.

If significant technical difficulties on the Science Made Clear side prevent a scheduled tutoring session from taking place or substantially prevent the session from being delivered, we will normally offer:

• a replacement session; or

• an appropriate refund where a replacement session is not suitable.

Students and parents or guardians are responsible for ensuring that they have a suitable internet connection, compatible device and any other equipment reasonably required to participate in online tutoring.

Refunds are not normally provided where a session cannot proceed solely because of technical problems with the student's internet connection, device, software or equipment.

However, genuine exceptional circumstances may be considered on a case-by-case basis.

7. Tutoring packages

Where several tutoring sessions are purchased together as a package, any package-specific conditions displayed before purchase will also apply.

Where a refund for unused sessions is due, the amount will normally be calculated by reference to the amount actually paid for the unused sessions within the package.

Sessions that have already been provided, missed without sufficient notice, or cancelled outside the applicable cancellation terms may be deducted from any refund where permitted by law.

Any statutory cancellation or refund rights that apply will take priority over our normal package cancellation arrangements.

8. Downloadable digital products and Mastery Packs

Science Made Clear may sell downloadable educational resources, including Mastery Packs, study materials, worksheets and other digital content.

Digital products are different from physical goods because they may be supplied or made available for download immediately after purchase.

Where you request immediate access to digital content before the end of the applicable statutory cancellation period, we may ask you to:

1. expressly consent to the digital content being supplied immediately; and

2. acknowledge that once supply of the digital content begins, you will lose your statutory right to cancel the purchase where the law provides for that loss of cancellation rights.

Where the required consent and acknowledgement have been provided and downloading or supply of the digital content has begun, change-of-mind refunds will normally not be available.

This does not affect your rights where digital content is faulty, not as described, or otherwise does not conform to the contract.

9. Problems with digital products

We take reasonable care to ensure that Science Made Clear digital resources are provided as described and are of appropriate quality.

If you experience a genuine problem with a purchased digital product—for example:

• the file cannot be opened or accessed;

• you receive the wrong product;

• the download is incomplete or corrupted;

• material is materially different from its description; or

• the digital content otherwise fails to meet applicable statutory requirements,

please contact us and provide details of the problem.

Depending on the circumstances and your statutory rights, we may provide a corrected or replacement file, an appropriate price reduction, refund, or another remedy required by law.

A request will not be refused simply because a digital product has been downloaded where the customer has a statutory remedy because the digital content does not conform to the contract.

10. Accidental or duplicate purchases

If you accidentally purchase the same digital product more than once, please contact us as soon as possible.

Where we can verify a genuine duplicate transaction, we may refund the duplicate payment where appropriate.

This provision is in addition to, and does not limit, any statutory rights.

11. Requesting a cancellation, rescheduling or refund

Please include:

• the name used for the booking or purchase;

• the email address used for the booking or purchase;

• the date and time of the relevant tutoring session, where applicable;

• the name of the digital product, where applicable;

• the order or payment reference, if available; and

• a brief explanation of your request.

We may request reasonable additional information where necessary to locate the transaction or investigate a technical problem.

12. Refund payments

Where a refund is approved, it will normally be returned using the same payment method used for the original transaction, unless another method is expressly agreed or applicable law permits otherwise.

Where a statutory cancellation right is validly exercised and the law requires reimbursement, the refund will be made within the applicable statutory time limit.

For applicable distance-contract cancellations, this will normally be within 14 days of Science Made Clear being informed of the cancellation.

Once a refund has been processed, the time taken for the funds to appear in your account may depend on your bank, card provider or payment service provider.

13. Statutory rights

Nothing in this Refund & Cancellation Policy is intended to exclude, restrict or replace any rights or remedies that you may have under applicable UK consumer law, including rights relating to services and digital content.

If any provision of this policy conflicts with a mandatory statutory consumer right, the statutory right will apply.
